Preamble:
Caretenders Inc. is a company that manages under contract retirement facilities owned directly or indirectly, in whole or in part, by its sole shareholder or that are owned by arm's length third party entities with no affiliation to our sole shareholder. This privacy policy applies to all facilities operated and managed by Caretenders.
Why We Collect and How We Use Personal Information:
Caretenders Inc. stores and uses information about you for the following reasons:
- to establish, maintain and improve our relationship with you whether you are a potential resident; resident; a family member of a resident or potential resident; an employee; or a business partner;
- to evaluate an individual's suitability for admission; employment; and a business relationship;
- to improve the services that we offer to residents, employees, and business partners through surveys conducted by us or third party consultants engaged under contract by us;
- to evaluate the provision of services that a resident, employee, or business partner might request; and to respond to their comments, concerns or requests for information, whether or not that communication is in oral, written, or in electronic form;
- to assist a resident, their family, our staff, and other authorized and designated third party intermediators, whether professional or non professional, in managing a resident's occupancy; and in determining the suitability of your placement and continuing placement with us;
- to assist an employee or business partner, their duly authorized representatives, and those duly authorized agencies having the authority by agreement, regulation, legislation, law or statue, to manage and govern your relationship and interests with us; and
- to meet our legal obligations, assist in law enforcement, and protect the business interests of Caretenders Inc. and its business partners.
Types of Information We Collect and How We Use It:
We collect the following types of information from our residents, their families, our employees and our business partners for the purposes set out above.
If you are a resident, employee, or business partner:
- information which enables us to identify and communicate with you including name, address, phone number, e-mail address, language preference, and title.
If you are a resident:
- information which enables us to better understand and meet our needs during occupancy which may include demographic information such as birth date, education level, occupation, marital and family status, personal preferences and interests, and health related information.
If you are an employee:
- information about your previous employment; job performance, job evaluation, attendance, health related information necessary to your employment, continuing employment, and personal safety. Information mandated by agreement, regulation, legislation, law or statue that is applicable to your employment; and information that may be provided on an unsolicited basis to us in the performance of your employment by third parties or other wise provided as a result of agreement, regulation, legislation, law or statue.
If you are a business partner:
- any and all information required by agreement, regulation, legislation, law or statue governing and applicable to our business relationship; and that information that may be provided to us in the course of our relationship that may be provided on an unsolicited basis by third parties or other wise provided as a result of agreement, regulation, legislation, law or statue.
How We Collect Information:
If you are a resident:
- we obtain information directly from you as a result of the admission process; through your continuing occupancy, our surveys and questionnaires; from third parties having knowledge of your affairs, interests, and needs; and perhaps, through our website.
If you are an employee:
- we obtain information from you as a result of the application process for employment and through your continuing employment, through the management and administration of your payroll record; the administration of benefit programs and plans; the administration of court orders that effect your employment with us should you be the party to one; and from third parties having knowledge of your affairs, interests, and needs.
If you are a business partner:
- we obtain information from you in the processing of entering into a business relationship with you; as a result of those documents and forms necessary to the processing, filing, and the administration of our business relationship whether or not they are mandated by agreement, regulation, legislation, law or statue; and from third parties having knowledge of your affairs, interests, and needs.
Our Policies Governing Your Personal Information:
- We make our Privacy Policy available to you through public posting, personal request, or through our corporate website, www.caretendersinc.com.
- We make reasonable efforts to keep your information up to date and accurate.
- We do not share, sell or rent your personal information to third parties for their own use.
- We have established retention policies and procedures to ensure that when the retention period expires, your personal information will be removed from our systems and destroyed in a secure manner.
- We share your personal information pursuant to the requirements of a court order or where required by law enforcement, other government authorities, or other third parties acting with lawful authority.
- Personal information is only accessible by appropriate personnel who have a business need for this information.
- Should personal information be received via fax or email, the fax machine and computer must only be accessible by those who are authorized to have access and view the information.
- You may review your personal information that we have on file during regular business hours at a mutually convenient time upon your written request to Management. Unless restricted by emergency or prevented by court order, Management undertakes to arrange such an appointment within twenty-four hours of your written request, or as otherwise mutually agreed. In making such a request, we will not provide you with any information which is exempt from disclosure such as personal information about another person, privileged information or confidential commercial information.
- We provide training to educate our personnel regarding the intent and requirements of this privacy policy.
- We are committed to working with you to obtain a fair and rapid resolution of any complaints or disputes about privacy and the handling of your personal information and will be happy to respond to your questions and comments.

Effective Data and Revisions:
Occasionally we may update this Privacy Policy to reflect changes to our privacy practices. This Privacy Policy is effective January 1, 2007, and is considered null and void when replaced, amended or modified by a corporate privacy policy.
